At ITV, the M&E legal team sits at the heart of ITV’s commercial business, advising on legal matters across the Media & Entertainment division, enabling you to have a real impact on your career, on our viewers and our strategic ambitions.
The role..
We’re looking for a proactive and highly organised PA/Team Assistant to join ITV on a 12-month fixed-term contract, supporting our Media & Entertainment Legal & Business Affairs team. Provide sophisticated administrative and interpersonal support to the Director of Legal and Business Affairs, their team, and other colleagues.
This is a busy, fast-paced role that requires a confident multitasker with excellent attention to detail, good judgement, and the ability to handle confidential matters with discretion. You'll play a central role in keeping the team running efficiently, so strong diary management, communication, and prioritisation skills are key.
Some of your key day-to-day responsibilities will include:
- Handle the complex and changing diaries of the Director and leadership team.
- Provide email inbox support – flagging, responding, and raising where appropriate.
- Coordinate team meetings, prepare agendas, take minutes, and follow up on action items.
- Lead on document preparation for divisional and board approvals – collating inputs, checking for errors, and collaborating closely with internal collaborators.
- Support contract signing processes – maintain and update a tracker to handle priorities and approval history.
- Draft briefing notes and summaries for the Director using independent research.
- Develop presentations (Google Slides/PowerPoint) from handwritten notes or discussions.
- Maintain strict confidentiality on all business matters.
- Build positive relationships with key collaborators across ITV (e.g., Secretariat, Group Legal, ITV Studios).
- Coordinate internal and external meetings – including room bookings, AV setup, and guest coordination.
- Arrange domestic and international travel, prepare itineraries, and process expenses using Oracle Fusion.
- Maintain and coordinate digital and physical filing systems; handle document storage and archiving (Iron Mountain).
- Support onboarding of new team members and coordinate work experience placements.
- Coordinate logistics for on-site and off-site team events.
- Act as a point of contact for thank-you messages, staff cards, and small gifts on behalf of the Director.
- Collaborate with other ITV and Legal PAs to ensure protocol and team coordination.
- Provide ad-hoc support to the wider Legal & Business Affairs team as needed.
Skills you’ll need (minimum criteria)
- Shown experience supporting at Director level in a PA or administrative capacity
- Have the ability to work from the office for 2–3 days weekly
- Experienced in handling sophisticated and shifting diaries across multiple partners
- Technically proficient, with a shown understanding of Google Suite, Slack, Adobe, and Oracle Fusion

- Skilled in drafting reports, briefing notes, and professional presentations
- Confident leading team meetings, including setting agendas and tracking actions through to completion
- Strong interpersonal skills with the ability to prioritise and handle contending demands
- High attention to detail and accuracy in all tasks
- A proactive self-starter who takes initiative and solves problems creatively
- Able to work independently and collaboratively within a team
- Excellent relationship-building skills with both internal colleagues and external partners
